Booking a Consultation
When a consultation is booked in Boulevard, HubSpot will create a contact record, deal record and an appointment record via the Boulevard to HubSpot integration. The appointment Record will be associated with the deal record with the meeting type property set to consultation.
- Contact records contain information as it relates to customer. You can find contacts in the contacts view section of HubSpot. To navigate to contacts, open HubSpot > CRM > Contacts.
- Deal records contain information as it relates to sale. You can find deals in the deals view section of HubSpot. To navigate to deals, open HubSpot > CRM > Deals.
- Appointment records contain information as it relates to the appointment (whether a service appointment, consultation, etc.). You can find appointments in the appointments view section of HubSpot. To navigate to deals, open HubSpot > CRM > Deals.
No further action is needed in HubSpot until the consultation has either been completed or missed.
When a Consultation has Been Completed
After the consultation has been completed in Boulevard, the status property on the appointment record is updated to completed and the store coordinator will send a follow up email to the potential customer outlining the recommended services using one of the following templates:
- Consultation Follow-Up
- Consultation Follow-Up - Quote Included - The SC will need to create a quote and attach services in which the customer is interested in as line items
From here HubSpot will wait for an order to be placed in Boulevard.
Missed or Cancelled Consultation Follow-Up
If a consultation is cancelled or they are a no show, the status property on the appointment record will be updated (either to cancelled or no show) in HubSpot, via this workflow. Additionally, HubSpot will create tasks for the Store Coordinators to call the customer in an attempt to rebook the consultation. Automated emails will also be sent to the customer two days after missing the consultation in an attempt to rebook the consultation.
Order Placed
When an order has been placed in Boulevard, HubSpot will update the deal stage to Closed Won. Additionally, HubSpot will send an automated email and SMS message, via this workflow congratulating the customer on their purchase. No further action in HubSpot is needed at this point.
